How to Plan an Office Headshot Day in Los Angeles or Orange County
By Julian Buitrago, BLINK Photo Co. · Updated · 6 min read
A conference room becomes a studio in about an hour.
A team headshot day in your office takes one email, one room and a schedule. Done right, people are away from their desk for a few minutes and every photo matches. Here is the plan we use with offices across LA and Orange County, including an email you can copy.
Short answerBook a date, reserve a conference room, schedule people in short slots (one photographer handles about 12 to 15 people per hour), and send a wardrobe email a week before. BLINK brings the lights, backdrop and photographer to your office in LA or OC. Pricing is per person in blocks ($225 for the first 10 people, down to $55 from the 100th), with a $1,200 minimum per day (as of October 29, 2026).
Key takeaways
One photographer: about 12 to 15 people per hour for team headshots.

Schedule in slots and send the wardrobe email a week ahead.

What is the timeline?
2 to 4 weeks before: pick the date and confirm the headcount range.

People see their photo right away on a tablet.
What kind of room works?
A conference room, a training room or a quiet corner of an open office. You need enough space for the backdrop and lights plus a few people waiting, and one standard outlet. Avoid rooms with only glass walls facing the sun if you can; we can work with it, but a room with some walls is easier.
How do you schedule people?
One photographer moves about 12 to 15 people per hour for team headshots, with real lighting and quick direction so nobody leaves with a photo they dislike. Book slots in 5-minute blocks, leave a 15-minute buffer each hour for late arrivals, and put executives early, before the day gets busy.
What should the team email say?
Copy and edit this:
Subject: Team headshots on [date], pick your time
Hi team,
We are updating everyone's headshot on [date] in [room]. It takes about 5 minutes. Please pick a time here: [link].
What to wear: solid colors, nothing with logos or busy patterns. A jacket or blazer works for most roles. Bring a second top if you want options.
You will see your photo on the spot, and your gallery arrives the same day.
Same light and backdrop for everyone, so the team page looks like one company.
What happens on the day?
We arrive early and set up lights and backdrop (gray in any shade, custom color on request).
Each person steps in, gets direction, and picks from the shots on a tablet.
One fully retouched photo per person, private galleries the same day, LinkedIn-ready crops.
Certificate of Insurance and W-9 available on request for procurement.
